How does Inofile ChartMD work?

Inofile ChartMD is a software application that is loaded on the Fujitsu network scanner 6010N or N1800. Much like an application is loaded on a smartphone, the software resides on the scanner. This allows you to use the workflow process of Inofile ChartMD to capture clinical documents, loose filings and faxes.   

Can everyone access the scanner from the network?

Yes, anyone can access the device from the network but the actual scanning is completed at the device. Users are scanning documents and completing the workflow process at the scanner using the proper login and password.

How does Inofile ChartMD software get on the device?

Much like an application loaded on a smartphone, Inofile ChartMD software resides on the scanner. The software is loaded onto the device through the Fujitsu Administration Console that is included with the purchase of the network scanner (model 6010N or N1800).

Why is this process better than just a basic scanner? Why do I need the software?

The process is more efficient because the scanner is batch scanning at 50 pages per minute and the workflow process of Inofile ChartMD is more efficient by design—breaking documents and prompting the user to link or associate each document with a patient record.

Is AllScripts integrated with Inofile ChartMD?

Yes it is. AllScripts has a document linking a process within AllScripts that sweeps the directory where patient documents are stored for uploading the documents to the EMR system and specific patient records.

We are implementing Aprima. What are the specific server requirements or other requirements to implement Inofile ChartMD?

For Aprima EMR users, Aprima provides all support for Inofile ChartMD. They will do the installation and training and they will also be your support organization. We support Aprima. There are no server requirements for the scanner. The scanner attaches to the network just like a PC, because it is a PC on the inside, and then it talks directly to Aprima on the network. Nothing extra is required.

Does Inofile only sort physically scanned pages or can we also sort emails and messages through Inofile?

Inofile processes the scanned documents in batch mode and the next release will handle digital files, primarily intended to process faxes that have been received via a fax server or service.

What happens to the information that you have scanned, if your connection is disrupted or you have to stop before you have linked everything scanned? Is it saved on the scanner?

The scanner retries a number of times before it will terminate the session. The user sees the results in the validation screen after the upload process. If one or more documents do not upload successfully you will see a "False" indication in the first column.

The device does not hold data or documents on the scanner for reasons related to HIPAA compliance. After each session the documents and data are removed from the hard drive. If there was a failure to upload due to loss of the network or power to the device, the user must re-scan. This has not been an issue with the various practices.

Does Inofile ChartMD work with a hosted and non-hosted environment?

Yes, it will. The Inofile scanner connects the servers that belong to you via a URL to the web services in the system and thus the servers can be on premise or hosted.

Is ChartMD faster than my copier that scans?

Yes. Because Inofile ChartMD supports batch scanning clinical workflows, multiple documents can be automatically processed and imported using industry-standard formatting. Also, fewer steps are required to perform document processing so even staff with little or no training can process document using just three screens for scanning, document breaking, and linking to the EMR.

How long does it take to set up Inofile ChartMD?

It takes approximately 15 minutes to initialize and configure Inofile ChartMD for use. All you need is power and an active network connection.
